The saying goes that necessity is the mother of all inventions; however, frustration shared by the editorial team of our clients in the publishing industry was one of the key reasons we built Multicollab.

In Dec 2019, one of our clients, a highly-reputed large enterprise organization, requested a meeting. It was early December, and everyone was getting ready for the Christmas holidays. Our CEO and senior Solution Architect got on a call with their company’s head of publishing.

He told us that they have a team of 200+ content creators, reviewers, editors, and publishers. This publishing team was responsible for creating technical research papers, which of course requires a high level of accuracy and precision, warranting multiple reviews and edits by various authors and editors. 

They used Google-Doc to create, edit, and collaborate on these research papers. For several years they had been selling printed copies of these research papers during live events, but they now wanted to switch to selling digital copies of these research papers.

If you have used WordPress, you already know that it offers a content creation experience unmatched by any of its peers. It also offers the most advanced tools to monetize the content.

He asked us to build a workflow to create, edit, collaborate, publish, and monetize the content — all without leaving WordPress.

But there was one big problem! WordPress is competent in providing content creation, publishing, and monetization experience, but there weren’t any good tools/plugins available to collaborate with during the editing process in WordPress

There was an option to use Google Docs to collaborate (commenting and suggestions) and then copy and paste the content back over to WordPress for publishing and monetization. If you have done this before, you know exactly the frustrations and inefficiency of this process, as do our hundreds of other publisher clients.

But copying and pasting were not the only frustrations shared by our publisher clients; there are several other drawbacks and limitations to collaborating on Google Docs and then publishing on WordPress!

😩 Editors need to fix the formatting each time they copy and paste the content back and forth between Google Docs and WordPress. This copying/pasting is not just one time; it needs to be done multiple times before the content is finally published. This is a huge time waste and can cost companies thousands of dollars a month.

😩 Few publishers have invested the necessary time and money to build custom design blocks and workflows inside WordPress Content Editor. Sadly, they can’t take full advantage of those custom design blocks and workflow because they have to take the content out of WordPress. 

😩 Some publishers were concerned about their sensitive content and data leaving their server infrastructure for Google’s, and desired the option to collaborate inside WordPress instead.

When collaborating on posts in the past I have often used Google Docs just for the ability to give inline comments with notifications.
